This Privacy Policy explains how ATA Photobooths (ATA, we, or us) handles information through the private Hermes Automation QuickBooks connection service (the Service).
1. Scope
The Service is an internal ATA business tool. It connects ATA's Hermes automation system to ATA's QuickBooks Online company so authorized workflows can read accounting information and create sales receipts. It is not a public consumer application.
2. Information the Service handles
Depending on the authorized workflow, the Service may handle:
- QuickBooks authorization information, including OAuth access and refresh tokens and the QuickBooks company identifier;
- customer and transaction information, such as names, contact details, products or services, amounts, dates, sales receipts, and related accounting records;
- technical and operational information needed to secure, diagnose, and operate the Service.
The Service requests only the QuickBooks Online Accounting permission and does not request payment-card processing or payroll permissions.
3. How we use information
We use information to authenticate with QuickBooks, carry out authorized ATA accounting workflows, read and reconcile relevant records, create sales receipts, maintain security, troubleshoot errors, and comply with law. We do not use QuickBooks data for advertising, and we do not sell it.
4. Sources of information
Information comes from ATA's QuickBooks Online company, authorized ATA users and systems, and limited technical records created while the Service operates.
5. Sharing
We disclose information only as needed to operate the Service: to Intuit for QuickBooks authentication and API functions; to infrastructure or technology providers acting for ATA; when an authorized ATA user directs us; or when required to protect rights, safety, security, or comply with law. We do not share QuickBooks data with data brokers or advertisers.
6. Storage, security, and location
The OAuth connection and token storage are hosted on ATA-controlled infrastructure in the United States. Hermes communicates with that service over ATA's private network. We use safeguards appropriate to the Service, including HTTPS encryption in transit, restricted network access, limited administrator access, and protected credential files. No system can guarantee absolute security.
7. Retention
OAuth tokens are retained while the QuickBooks connection remains active. When an authorized administrator disconnects the Service, we request revocation and remove the locally stored tokens. Other accounting and operational information is retained only as long as reasonably needed for ATA's business operations, security, legal obligations, dispute resolution, and enforcement of agreements. Records created in QuickBooks remain subject to ATA's accounting practices and Intuit's controls.
8. Choices and access
An authorized QuickBooks administrator may disconnect the Service through its protected disconnection page or revoke the app from Intuit's account controls. Requests about personal information associated with ATA's records may be submitted through our contact page. We may need to verify a request and may retain information when required or permitted by law.
9. Children's privacy
The Service is an internal business tool and is not directed to children. We do not knowingly use it to collect personal information from children.
10. Changes to this Policy
We may update this Policy when the Service or applicable requirements change. The effective date above identifies the latest version.
